For the Fortune 100 telecommunications client of Fourth Wall Events and BI WORLDWIDE, “Vintage Vegas” was the crowning jewel in a five-day program designed to not only motivate the 2012 winners but also inspire increased effort in 2013 by all employees. With careful management of budget and resources, “Vintage Vegas” gave participants a once-in-a-lifetime Las Vegas experience that married a vintage feeling with a sense of elegance and luxury.
A Vegas Supper Club Vibe
The 300 customer service representatives who arrived in the Wynn’s Latour Ballroom in Las Vegas, Nevada, USA, with their guests the evening of 13 April 2013 interact with cable programming in their jobs and all have been influenced by the recent return of the 1960s to U.S. pop culture.
With careful attention to décor, the ballroom was transformed from a functional area that winners had been using for days into a supper club in the heyday of Las Vegas. Imitating a classic supper club booth, the perimeter of the room was draped in sheer beige and long strands of gold beads suspended from the ceiling followed the curved lines of tables. Each table was crowned with a lush floral arrangement in tones of orange, fuchsia and purple, while lotus flower candleholders and lotus gobo projections along the walls alluded to the décor’s focal point – a pink lotus flower suspended from the ceiling. This shimmering scenic piece, reminiscent of classic Las Vegas, was designed specifically for the event and provided a centerpiece for the room that did not block any sightlines.
Plated service of a custom dinner menu set a formal tone for the evening. Guests enjoyed a trio of taster salads, an entrée of their selection and a Spumoni dessert created especially for the event.
A Rat Pack-style band crooned upon the guests’ arrival and a surprise headline comedian/TV personality performed a set after dinner, before a DJ moved everyone onto the dance floor for the rest of the night. Honor’s Circle achievers, the top 50 performers, attended a meet and greet with the TV personality; their vintage-style corsages and boutonnieres served as their tickets.
Cost Management Ensures a Spectacular Evening
Each creative element of “Vintage Vegas” was constructed to fit within the parameters of the budget. Close partnerships between vendors allowed Fourth Wall Events and BI WORLDWIDE to share resources and streamline processes, saving on costs and maximizing the participants’ experience. BI WORLDWIDE negotiated concessions with Wynn on the menu, catering, dance floor and floral storage. Fourth Wall Events secured a discount by engaging the same DJ for the welcome evening and “Vintage Vegas,” and worked with the client’s production company to jointly order lighting, audio, security and video for the entire five-day program, giving both companies a larger set of equipment to work with.
The Team for Success
“Vintage Vegas” occurred in an environment created by Fourth Wall Events and accented by BI WORLDWIDE’s creative menu planning and logistics for table assignment and meal selection. Hello! Las Vegas provided the Rat Pack-style band and cigarette girls passing out themed candy, while the client’s production company contracted the headline entertainment and oversaw the calling of the show. The event was the epitome of teamwork between six companies – the client, BI WORLDWIDE, Fourth Wall Events, Hello! Las Vegas, the Wynn and the client’s production company.
The Five Star Service program encourages staff to catch each other in acts of going above and beyond in one of five categories – Sociable, Sincere, Sources, Simplify and Solve. Ballots are filled out throughout the program and reviewed on the final day by the program director and client. The winners are announced at a final team meeting and prizes are awarded. The goal is to collect one of each type of star over the years for the ultimate reward. The program unifies the staff by encouraging them to look for the good that each team member contributes, while also challenging everyone to reach further for the guests.
A Lasting Motivation
When surveyed about the program, attendees gave the “Vintage Vegas” evening, as well as the overall program, a satisfaction rating of 4.8 out of 5 – the highest rating ever received. The mobile app, EngageNGo, designed by BI WORLDWIDE not only wowed the winners and provided them important pre-event information but also gave them a way to share their photos throughout the night. Post-event, the mobile app, together with the guest and professional photos, continued to motivate the client’s employees for the year’s sales cycle.
